This Privacy Policy explains how NOIDS B.V. ("NOIDS", "we") collects and processes personal data through business.noids.co, in accordance with the EU General Data Protection Regulation (GDPR) and the Dutch implementation act (UAVG).

2. Scope

This policy covers personal data of business contacts, applicants for trade accounts, portal users and website visitors.

3. Personal data we process

Identity and business contact details: name, company, role, email, phone, VAT number, website.
Account and portal data: login, preferences, order history.
Order, delivery and payment data.
Communications: messages, applications and support correspondence.
Technical and usage data: IP address, device and browser data, and cookie data (see our Cookie Policy).

4. How we collect data

We collect data you provide directly (forms, orders, email), data generated through your use of the site, and, for VAT verification, data from the official EU VIES service.

5. Purposes and legal bases

To assess and manage trade-account applications and verify your VAT number (Art. 6(1)(b) and (f) GDPR).
To perform our agreement with you: orders, delivery, invoicing and support (Art. 6(1)(b)).
To comply with legal obligations, including tax and accounting retention (Art. 6(1)(c)).
Our legitimate interests in operating, securing and improving the trade channel and preventing fraud (Art. 6(1)(f)).
With your consent, for analytics cookies and, where applicable, marketing (Art. 6(1)(a)).

6. VAT verification and account decisions

When you apply for trade access, we validate your VAT number against the EU VIES service and review your business type. Approved businesses may be granted portal access. You can always request human review of a decision by contacting us.

7. Recipients and processors

We share personal data only with processors acting on our behalf under data-processing agreements, including payment providers, shipping and logistics partners, and hosting and IT providers. We do not sell personal data.

8. International transfers

Where data is processed outside the European Economic Area, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

9. Retention

We keep personal data only as long as necessary for the purposes above and to meet statutory retention periods (for example, seven years for accounting records under Dutch law). Application data for rejected accounts is kept for a limited period and then deleted.

10. Security

We apply appropriate technical and organisational measures to protect personal data against loss and unauthorised access.

11. Your rights

You have the right to access, rectify, erase, restrict and port your data, and to object to processing and to withdraw consent at any time. To exercise these rights, contact info@noids.co. We may need to verify your identity.

12. Complaints

You may lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl).
